Coordination Package

Details:

  • Optional add-on to any wedding booked at For-Lou Farms

  • Month-of coordination with an in-house coordinator who is familiar with our venue, staff, and policies

  • Pricing: $1000 in addition to the venue rental fee. 50% is due at the time of booking coordination package, with the remaining 50% due 1 month prior to the wedding.

What to Expect:

  • The coordinator will help the couple create a wedding day timeline

  • Establish floor plans & layouts with the couple

  • Assist with decoration or set-up as needed on the wedding day

  • Communicate set-up or room flip requirements with the responsible venue staff

  • Reach out to vendors hired by the couple to establish communication prior to the day of the wedding and confirm responsibilities

  • Work with vendors on the day-of as needed

  • Oversee any necessary room flips

  • Direct the ceremony rehearsal

  • Send bridal party down the aisle

  • Be the "go to person" for questions and issues on the day of the wedding

  • Be responsible for other coordination tasks as requested such as dimming venue lights for special dances, directing guests to specific areas at specific times, etc.

  • The designated coordinator will be available by phone or email prior to the wedding, and will meet in person with the couple at the venue approximately 4-6 weeks prior to the wedding for a walk-through to finalize details.

Coordination Package FAQ

  • Am I required to use a coordinator if my wedding is at For-Lou Farms?

    • No- you are not required to use a coordinator. We know a lot of couples prefer to have a coordinator or designated friend handle the logistics of the day, so we wanted to offer the option to folks interested.

  • What kind of previous experience do For-Lou Farms coordinators have?

    • All of our designated coordinators have multiple years of experience coordinating in the wedding and event industry, college degrees in hospitality related fields, and at least 1 year of experience working for For-Lou Farms to become very familiar with our venue.

  • Can I still hire an outside coordinator?

    • Yes! We pride ourselves on offering maximum flexibility to our couples, so if you have somebody else who you would love to work with, our feelings won’t be hurt! We just wanted to offer the option to anyone who is on the search for a coordinator and looking for someone with experience specifically at For-Lou Farms.

  • Will other venue staff still be on-site during my wedding?

    • Yes- regardless of whether you book our coordination package, we will have 2 staff people working at the venue to direct parking, assist with room flips, clean up messes, move tables & chairs as needed, etc. Our venue staff tries to be as behind the scenes as possible. The venue staff will also work directly with the designated coordinator when assistance is needed for coordination efforts, which maximizes the usefulness of the venue staff as well.

  • At what point in the planning process should I add the coordination package?

    • Any time! If you know you’d like to add this at the time you book the venue, you are welcome to book coordination then too. If at any point during the planning process you decide you’d like to add it, we can always do it later. Coordination services don’t truly begin until approximately 4-6 weeks before the wedding.

  • How does the coordination package differ than hiring an independent coordinator?

    • The main difference is that our coordinators have specific experience at our venue, and are familiar with the ins and outs of For-Lou Farms. Our coordinators also work closely with our staff, so they have built-in assistants when needed. They communicate any specific requests to us which can help set up go smoother. Outside coordinators may offer different packages, such as assistance with booking other vendors, that we do not include. So it’s all a matter of what you’re looking for in a coordinator!

  • How does booking work?

    • Just reach out to us at forloufarms@gmail.com and we will confirm whether one of our designated coordinators is available for your wedding date! Our coordinators all have other jobs as well as working here at the venue, so it’s possible not all dates will be available. We have a separate contract to add coordination, which we are happy to send you a copy to review. If we have the date available and you decide you’d like to book, a non-refundable 50% deposit and a signed contract is required. The remaining 50% is due 1 month before the wedding.
